What does a booked sales call cost for a software firm?

By Jean-Michel Moreau, founder, Rapid Product Growth Updated Nov 2026 · 8 min read

Short answer

In the dev-shop and software funnels we run (including our own), a booked sales call costs about $620 in ad spend, typically $500 to $910. About 2 in 3 booked calls happen (64%), so a held call costs about $850, typically $780 to $1,020. A lead costs about $180, typically $150 to $200.

Typical cost per booked call

A qualified booked call costs about $620 in ad spend, typically $500 to $910.

These are high-ticket B2B numbers from the dev-shop and software funnels we run (including our own), selling contracts worth $35k and up. Leads answer qualifying questions on role, revenue and deal size before they can book. Newsletter or webinar leads are a different thing.

A month of spend, ad to signed client

At about $6,200 a month, the low end of what our funnels spend, our median costs work out to roughly 34 leads, 10 booked calls, 6 held calls and 1 to 2 new clients, assuming 20 to 30% of held calls close.

The funnels we run spend about $10,600 a month on ads, typically $9,200 to $12,200. This example sits at the low end of that range. At the median spend, the same math gives 2 to 3 new clients. Divide the spend by the median cost at each step: $6,200 ÷ $180 is about 34 leads, and $6,200 ÷ $620 is about 10 booked calls. About 2 in 3 booked calls happen, so about 6 are held.

Whether that month pays for itself depends on your gross margin, not your contract value. The section on what a new client costs does that math.

How cost per call drops after launch

The first month is the most expensive. After it, cost per booked call fell by a median 43%; the best two-month stretch was 46% cheaper than the first month.

The first booked call comes fast: in about a week (all within two weeks). The first held sales calls take place in 14 to 30 days. Those first weeks show which message books calls. Then budget moves to what works.

The drop isn’t automatic. It comes from moving budget to the ads and audiences that book held calls. That’s why we review the numbers every week.

What a new client costs in ad spend

At an assumed 20 to 30% close rate on held calls, a new client takes 3 to 5 held calls, about $2,800 to $4,200 in ad spend.

Start from gross profit, not contract value. A $35k contract at a 40% gross margin leaves $14,000 of gross profit to pay for winning the client. Ad spend per new client is 3 to 5 held calls × $850, or about $2,800 to $4,200.

Everything else it takes to win the client, agency or team fees and sales time, also comes out of that $14,000. That’s why the close rate on held calls matters as much as the cost per call: at 10% you’d need 10 held calls, about $8,500 in ad spend, per client.

What lowers cost per call

Four things move cost per held call: the offer, qualification, follow-up speed and the show-up sequence.

Cheap leads aren’t the goal. Founders tell us:

  • “one of 20 of these are turning into clients, but it’s taking a lot of effort to try and detangle the one in 20.”
  • “they connect us with 8 to 10 people. Out of them, only one of them is actually qualified for this.”

Common questions

Is $600 or more per booked call expensive?

Not at a $35k+ contract with a healthy margin. At a 40% gross margin, a $35k contract leaves $14,000 of gross profit. If 20 to 30% of held calls close (an assumption), ad spend per new client is about $2,800 to $4,200. The real question is how many held calls you need per new client.

What is a good cost per lead for B2B software?

For qualified high-ticket leads, the dev-shop and software funnels we run (including our own) pay about $180, typically $150 to $200. But don’t manage to it. A lower cost per lead often means looser qualification and fewer calls worth taking. Manage to cost per held call.

What show rate should I expect on booked sales calls?

In the funnels we run, about 2 in 3 booked calls happen (64%). Fast calls, a short video and reminders push it up. If fewer than half your booked calls happen, fix the show-up sequence before the ads.

How long until cost per booked call comes down?

The first booked call comes in about a week (all within two weeks), and the first held sales calls in 14 to 30 days. After the first month, cost per booked call fell by a median 43%; the best two-month stretch was 46% cheaper than the first month. It drops because budget moves to what works, so watch it weekly.
